The operating system for event planners

One workspace. Every event. Zero group texts.

Your timeline's in Google Docs. Your vendors are on WhatsApp. Your contracts live in HoneyBook. Your seating chart is a color-coded spreadsheet. PlanOS replaces all of it — built for how real events run, not how photographers invoice.

Built for every kind of event

Weddings · Corporate · Bar & Bat Mitzvahs · Fundraisers · Milestone birthdays

PlanOS is the operating system for professional event planners — replacing the five tools, the group texts, and the outdated PDFs with one workspace that keeps every client, vendor, and event day running flawlessly.

The 10-minute timeline

Blank doc to sent-to-vendors.
Ten minutes.

The run of show is the single document every vendor, partner, and panicked bride reads the morning of the event — and most planners still build it in Google Docs on the night before. PlanOS rebuilt it from scratch for planners who do this every weekend. Pick a template, stretch the blocks, send each vendor their filtered call sheet. One cup of coffee.

Step 01

Pick a template

Wedding, bar/bat mitzvah, corporate gala, milestone birthday, quinceañera. Each template ships with vetted block structures a senior planner actually uses — not a blank grid.

Step 02

Customize the times

Drag to reorder, stretch a block to shift everything downstream, nest multi-day weekends under one umbrella event. Assign each block to the florist, DJ, or maître d' as you go.

Step 03

Send to vendors

One click sends each vendor a branded call sheet with only the blocks that concern them — load-in window for florals, dinner service for catering, toasts for the DJ. No more 40-page PDF marked up in yellow.

Built into every timeline
Five event-type templates — from weddings to corporate, built by senior planners

Multi-day, multi-session weekends under one event umbrella
Per-vendor filtered call sheets — each sees only what they need
White-label PDF export — your logo, your colors, your brand

Your event, end to end

One timeline. One run of show. Zero lost minutes.

Build it in the morning, share it with the couple, print it for the day-of binder. Every change flows through one source of truth.

10-minute timeline builder

Drag-and-drop ceremony, cocktails, dinner, send-off. Templates for weddings, corporate, and milestone events. Drafts save as you type.

Run-of-show mobile mode

Day-of view strips everything but the next 3 events. Large type, live clock, one-tap vendor call. Works offline at the venue.

White-label PDF export

Your logo, your font, your colors. Send a polished schedule to the couple; hand a production sheet to the photographer. One click.

Every client, every vendor

One workspace for the people who make the event happen.

Intake forms, client portals, vendor hubs, and a guest list that doesn't live in seven versions of a spreadsheet.

Client portal & intake

Send a clean link. Collect every answer you need — guest count, food allergies, sibling speeches — without a back-and-forth email thread.

Vendor coordination hub

Florist, DJ, photographer, rentals — each vendor gets exactly the info they need, branded under you. No more 47 email threads.

Guest list & seating

Import from anywhere. Track RSVPs, allergies, plus-ones. Drag to seat. Export the place cards. No more color-coded Excel files.

What your vendors see

White-label portal. Your brand, their tasks.

Every vendor gets a self-serve link — branded as your studio, never PlanOS. Signed code of conduct, COI upload, walk-through date, and their exact call time for the event. No group texts. No "wait, what time was I supposed to arrive?"

  • Code-of-conduct signature with audit trail
  • Certificate of Insurance & W-9 upload per vendor
  • Vendor-scoped call sheet — never the full run-of-show
  • Progress you can see at a glance — who's done what, when
Every event type, every size

Seating for 200. Conferences across four days. A wedding weekend with five moving parts.

PlanOS was built for the way real events actually run — not just the one-ceremony-one-reception template. Drag a guest to a table, stretch a timeline across days, link a rehearsal dinner to the ceremony so changes sync in one place.

Seating chart

Drag guests onto tables, balance plus-ones, flag allergies and dietary needs per seat. Place cards print to your brand; meal counts export straight to the caterer — no copy-paste, no spreadsheet.

Floor plans & site maps

Drop any PDF, screenshot, or Canva export into an event and pin it to the right section of the run of show. Day-of staff tap to see it full-screen on their phone — load-in route, ceremony layout, loading-dock diagram, all in one place.

Multi-day events

Conferences, retreats, festivals, destination weddings. Stretch a run-of-show across three, five, or seven days — each day gets its own timeline, all under one event.

Multi-session events

Rehearsal dinner · ceremony · brunch — linked as one workspace. Vendors who cover multiple sessions see all of them; changes to the guest list ripple through in real time.

Your team, your day, your proof

Built for the way planners actually work — on location, on the clock, on brand.

Assistants, second shooters, on-site coordinators. Everyone sees the right thing. You see everything.

Team collaboration

Invite your lead coordinator, event-day assistants, and intern. Role-based access. Comments, tasks, mentions. No Slack, no group text.

Google Calendar & Meet sync

Every event, every meeting, on your calendar automatically. One click generates the Meet link for the couple call; conflicts surface in-app.

Weather & day-of alerts

Outdoor ceremony in May? We pull the 10-day forecast and flag rain risk the moment it appears. No more refreshing Weather.com.

Why planners switch

The old way vs. the PlanOS way.

The five-tool stack

  • Google Sheets for timeline
  • HoneyBook or Dubsado for CRM
  • Asana or Trello for tasks
  • Dropbox for contracts & vendor docs
  • Group text chains for day-of
  • PDF exports that look like 2012
  • $90–$180/mo combined, none of them talk to each other

PlanOS

  • One timeline, shared with everyone who needs it
  • Clients, leads, and contracts — built for event work
  • Tasks tied to the event phase they belong to
  • Vendor hub with branded portal per vendor
  • Run-of-show mobile mode with live clock
  • White-label PDF export on your brand, not ours
  • One flat rate. Grow your book without penalty.
The alternatives

Feature by feature, a planner's actual toolkit.

Spreadsheets do parts. CRMs do parts. Wedding-specific tools do some. PlanOS is the first one built for the whole job — here's the honest breakdown.

What planners say

Loved by planners building the real thing.

I ran a 180-guest Bat Mitzvah last month and my day-of binder lived entirely on my phone. First time in eight years.

Good to know

Frequently asked.

How does Founder pricing actually work?

Sign up before July 1, 2026 and you lock Studio (normally $99/mo) at $49/mo for the lifetime of your account. Solo also launches at Founder pricing. Your rate never increases — even when we raise prices for new customers later. This is our way of thanking the first 500 planners for betting on us early.

What happens after July 1, 2026?

New accounts created after July 1 pay the regular rate — Studio becomes $99/mo, Solo stays at standard pricing. You, as a Founder, keep $49/mo forever on your current plan. Founder pricing covers today's feature set; future major modules (advanced reporting, floor-plan designer, accounting) may be priced separately.

Why a 14-day trial instead of a free tier?

A 14-day trial gets you through a full planning sprint — intake, timeline, vendor coordination, client portal review — on real data. When the trial ends you're either locked in at Founder pricing for life, or you cancel with your data exported. No partial free tier, no feature gating while you evaluate.

Is PlanOS only for weddings?

No. PlanOS was built for professional event planners across weddings, corporate offsites, bar and bat mitzvahs, fundraisers, milestone birthdays, and more. Templates exist for each. Vendors and phases adapt to the event type.

What's on the roadmap?

We ship weekly. The current roadmap focus is deeper Gmail integration with AI inbox triage (auto-detect leads, draft vendor replies in your voice, file correspondence to the right event), the expanded floor-plan library (PDF, screenshot, and API sync from design tools), and the native day-of mobile app with full offline mode for venues with spotty signal. Your Founder rate covers everything we ship — this year, next year, the year after. No feature upsells, no tier bumps.

Can I import from HoneyBook, Dubsado, 17hats, or Aisle Planner?

Yes. Clients, events, and contacts import via CSV. PDF contracts and vendor files upload directly. We'll help you migrate your first 20 clients for free — just email us after signup.

Who owns the data?

You do. Always. Export any client, event, or timeline at any time to PDF or CSV. If you leave PlanOS, the data leaves with you — no lock-in tricks.

What about my existing Google Calendar?

Connect it once. PlanOS reads your calendar to surface conflicts and writes Meet links for client calls to your primary calendar. Nothing is stored on our side. See our privacy policy for specifics.

Plan beautifully. Execute flawlessly.
